Frequently asked questions
QC System
Yes, Lion Paper Products has a comprehensive quality control system, which operates in four stages: Incoming Quality Control (IQC), In-Process Quality Control (IPQC), Final Quality Control (FQC), and Outgoing Quality Control (OQC).
For qualified buyers, we can provide QC flowcharts and key SOP frameworks upon signing a Non-Disclosure Agreement (NDA) to protect customer-specific information and technical details.
• IQC: Paper/board weight and moisture content, material consistency, surface defects, and confirmation of accessories and packaging materials.
• IPQC: Color matching for printing, cutting dimensions, binding/assembly, workmanship standards, in-line isolation, and reinspection.
• FQC: Final inspection of all products – appearance, functionality, key specifications, etc. Products are only packed after passing.
• OQC: AQL-based sampling inspection for finished goods, including product appearance, functionality, packaging strength, label accuracy, quantity verification, and shipping readiness.
The critical factors for hardcover quality are the structure and consistency of the "cover/ spine/hinge," as well as durability.
Key inspection points include:
• Board and Cover Materials: Thickness consistency, warping control, and laminate/finish balance.
• Printing: Color consistency against approved samples, abrasion and scratch resistance (if required).
• Cover: Alignment of the ring binder, consistent hinge width, square corners, and clean cut edges.
• Spine/Hinge: Adhesive coverage and curing, smooth opening and closing (without cracking).
• Surface Finish: Gold stamping/UV positioning (near the logo), embossing depth consistency, and no visible marks.
Common issues include binding defects, cutting errors, warping, and printing/surface durability problems.
Our prevention strategy is built around: material control, process control, and actionable acceptance criteria.
• Pages Falling Out / Spine Cracking: Adhesive selection, back grinding depth, and curing time control.
• Cover Warping: Controlling the moisture content of board materials and selecting the right lamination/finishing combinations.
• Cutting Deviation / Misalignment: Jig setup and first article confirmation, in-line size checks.
• Color Fading / Smudging: Proper finishing and lamination, along with wear resistance testing for key areas.
• Gold Stamping/UV Defects: Defining tolerance levels, in-line sampling, and reworking any defects.
In case of any issues, we use the process of "Stop – Isolate – Reinspect" before conducting root cause analysis and implementing preventive measures.
Lion Paper Products uses "sealed golden samples" as the only reference for bulk production, with sample retention and version control to prevent long-term deviation.
• Golden Sample Confirmation: Signed date, photos, and version numbers (design/materials/process).
• Sample Retention: Retained by PO/batch, with related batch records and key material batch numbers.
• Change Control: No material changes without written approval; all updates are traceable.
This system ensures that specifications and outcomes remain consistent across seasons.
While certificates cannot replace on-site execution, they indicate whether a factory has a sustainable management system.
Buyers often focus on the following frameworks:
• ISO 9001: Quality management system, emphasizing process control and corrective/preventive actions.
• SMETA / Sedex (or BSCI): Social responsibility audits, enhancing management transparency and discipline.
• FSC CoC (if FSC declaration is required): Paper source and chain-of-custody traceability.
Lion Paper Products can provide valid certificates/audit materials for verification under an NDA.
Yes, Lion Paper Products accepts third-party pre-shipment inspections (PSI) and, if necessary, container inspections.
We view inspections as risk management tools, not adversarial scenarios.
Inspection standards are based on your specifications, approved samples, and AQL plan. We cooperate fully with third-party inspections, executing corrective actions if problems are found.
Container checks can cover: carton condition, labels, quantity, and container suitability.
If a PSI fails, we will isolate and rework/redo the production, ensuring it passes before shipment.
Lion Paper Products commonly uses AQL-based sampling for finished product acceptance (attribute sampling).
If you don't specify, we can propose a practical plan based on channel risks and product complexity.
Typical starting points (which can be adjusted): Critical 0, Major 2.5, Minor 4.0.
• Retail (Large Retailers): More stringent on appearance and functionality; packaging requirements are stricter.
• DTC (Direct-to-Consumer): Slightly more lenient on minor appearance issues, but critical or functional defects must be zero.
If your retailer handbook has specific requirements, we will align with their rules.
Color matching must be both visual and quantifiable. The goal is to consistently reproduce the color under defined light conditions.
Best practices typically involve: confirming proof samples, controlled printing conditions, and measurement/recording.
• Use printed samples as a visual benchmark (not just screen files).
• Use a densitometer or spectrophotometer to measure key brand colors and record results.
• Perform visual comparisons under controlled light (commonly D50) to minimize discrepancies.
If stricter brand tolerances are required, we can provide executable tolerance tables and report formats.
Misalignment typically arises from paper expansion, cutting drift, or unstable paper feed.
We reduce risk by focusing on material stability, equipment calibration, and online checks.
• First article confirmation at startup (and after major adjustments like paper change or shift in shifts).
• Key areas for online sampling checks for alignment (such as logos, borders, lines).
• Writing tolerance limits for cutting/folding lines into specifications to avoid disputes.
For hardcover bindings, we recommend producing PP samples to lock down edge and hinge performance.
The main quality experience for hardcover notebooks comes from hinge durability and page block stability, so these are the focus of our tests.
Common controls and tests include:
• Hinge Opening/Folding Test: No cracking, stable hinge width.
• Pull-Page Test: Focus on key batches.
• Drop Test (for retail channels): Ensures product durability during shipping.
• Squareness/Alignment Check: Page block alignment with cover, consistent top and bottom edges.
Test methods and frequency will be outlined in the project QC plan and documented for reference.
KPIs help compare factories, but they must be evaluated within the context of "same product category, same standards."
Common KPIs include:
• PPM (Parts Per Million) or defect rate by type.
• RFT (Right First Time)/FQC pass rate.
• Rework Rate & Top Root Causes.
• Customer Complaints Rate & CAPA Closure Time.
A mature factory’s QC processes should be supported by records. We can provide the following (with sensitive data anonymized):
• Online Inspection Records: Time, production line, inspector, and signatures.
• Defect Photos and Non-Conformance Isolation/Repair Records.
• Production Line Audits and First Article Confirmation Records.
• Training Records and Process Change Notices.
These records form the core evidence of repeatable quality.
Yes – provided the product similarity is clear and customer information and business confidentiality are protected.
Lion Paper Products can provide anonymized OQC reports, including: sampling results, defect items, and corrective actions taken.
If you provide the target SKU, we will match it with the closest report set for an effective comparison.
Handling complaints promptly and with proper evidence is crucial. Our standard procedure is:
• Isolation: Suspect batches are isolated; shipment may be halted if necessary.
• Root Cause Analysis: Using tools like 5-Whys/Fishbone Diagram, process review, and evidence collection.
• CAPA: Updating SOPs, training, adding inspection points, and validating effectiveness.
Incorporating quality standards into the PO is the most effective way to reduce disputes and improve first-pass success. Common clauses include:
• AQL Plan (Critical/Major/Minor), defect definitions, and defect photo examples.
• Specification Tolerances (size, cutting, alignment, embossing depth), with confirmed samples as benchmarks.
• Color Matching Standards (Pantone/approved samples), with color variation/tolerance methods.
• Packaging Requirements (carton strength, drop tests, labeling rules).
• Remedy Mechanisms: Rework, remake, discounts, and claims timeframes.
Our principle is to ensure the clauses are executable, verifiable, and actionable to ensure first-time product acceptance.
